The Importance of KAI’s Whistleblowing System in Building Employee Integrity

KAI, as the company responsible for railway services in Indonesia, is always committed to maintaining integrity, transparency, and accountability in every aspect of its business processes. One concrete step taken by KAI to achieve this is the implementation of a Complaint Handling System, commonly known as the Whistleblowing System (WBS).

Vice President Public Relations of KAI, Joni Martinus, said that WBS is a complaint mechanism for alleged irregularities or violations occurring within the company. This mechanism aims to implement good corporate governance through a dedicated and confidential reporting system.

“Anyone, whether employees, contractors, business partners, or other external parties, can report ethical violations, legal violations, or unethical behavior occurring within the company environment,” said Joni.

The WBS at KAI aims to facilitate the handling of violation reports, maintain the confidentiality of whistleblowers, detect early the negative impacts of violations, strengthen preventive efforts and encourage reporting of matters that may cause losses, improve the supervision system that provides protection to whistleblowers in order to prevent and resolve violations within the company, reduce reluctance to report violations, and enhance the company’s reputation.

“KAI personnel and the general public have the right to report suspected violations including corruption crimes, other criminal acts related to corruption, violations of the code of conduct or company ethics, as well as employee disciplinary violations,” Joni explained.

Joni added that KAI provides various reporting channels to make it easier for whistleblowers to submit reports. If any violations indicating corruption, bribery, fraud, or criminal acts are found, all stakeholders can report them to KAI WBS via email [email protected] or WhatsApp number 0812-1445-5300. In addition, reporters can also submit complaints directly to the Quality Assurance & Good Corporate Governance (GCG) Unit as the WBS manager at KAI.

“Every report will be verified for its truth and carefully reviewed by a competent internal team. Follow-up actions will be taken based on investigation results. KAI is committed to protecting whistleblowers from retaliation or discrimination. This creates trust that reporting violations is safe and correct,” Joni explained.

Joni emphasized that the company will not process reports that are not supported by sufficient data and do not substantiate the information being reported.

“We process reports with evidence; without evidence it could become defamation,” he said.

WBS is an important step in ensuring good corporate governance and preventing violations. With a strong legal basis and a transparent mechanism, WBS serves as the frontline in maintaining integrity and ethics within the company and protecting the company’s reputation in the eyes of the public and stakeholders.

“KAI strictly prohibits bribery and corruption in any form. Let us jointly implement these principles. With proper implementation of Good Corporate Governance, public trust is expected to increase,” he concluded.
